How to manage a rental building in Addis Ababa: a practical checklist

Most rent problems are not tenant problems. They are records problems. This checklist covers what well-run buildings in Addis Ababa do every month, whether you use a notebook, Excel or software.

1. Keep one list of every unit

Write down every unit with its floor, type (shop, office, apartment), size and status (occupied or vacant). This list is the base of everything else; if a unit is missing, its rent will be missing too.

2. Put every lease in writing

For every tenant, record the agreed rent, deposit, due day, billing cycle (monthly, quarterly or yearly), start and end date, and any agreed increases. Have the agreement reviewed by a lawyer if you are unsure about legal terms. A written lease avoids most disputes.

3. Send an invoice every cycle, on the same day

Tenants pay more reliably when they receive a clear invoice before the due day. Use the same day each cycle and include the amount, the period and how to pay (bank account, Telebirr number).

4. Match every payment to a unit the day it arrives

Bank and Telebirr transfers often arrive with a sender name that differs from the tenant's. Ask tenants to send proof with their unit number, and record each payment against the right invoice the same day. Waiting until month end is how payments get lost.

5. Give a receipt for every payment

A numbered receipt protects you and the tenant. Business tenants need it for their own accounts; residential tenants keep it as proof.

6. Follow up late rent with a clear rule

Agree a grace period and a late fee in the lease, and apply it the same way to everyone. A weekly look at who is late, and for how long, is enough to stop arrears from growing.

7. Log every repair request

Write down who reported what, when, who was assigned and what it cost. Repairs that are logged get fixed; repairs that are mentioned in the corridor get forgotten.

8. Announce to everyone the same way

Water shutdowns, lift maintenance and meetings should reach every tenant through one channel. A notice on the door misses half of them.

9. Close each month with three numbers

  • Occupancy: how many units are let
  • Collections: how much rent came in
  • Arrears: how much is overdue, and from whom
